Privacy policy

The Budding Chef’s Club Ltd collect certain information about you and your child(ren) when you book a session with us.

The information we collect is:

  • Name, home address, email address and telephone number of parent(s), guardian(s) or carer(s)

  • Child(ren)’s names and dates of birth

  • Child(ren)’s home address (if different)

  • Which GP surgery your child(ren) is registered with

  • Details of any special educational need or disability (SEND)

  • Details of any allergies

  • The name and dosage instructions of any medication

  • Whether you consent to us administering this medication and/or emergency first aid

  • Name, address and contact details of up to 2 emergency contacts

  • Whether you consent to us taking photographs and whether we can use these on our website or social media

  • Any other information you choose to give to us in relation to your child

  • Whether there are any safeguarding concerns for your child (for example 'looked after' children)

This information can only be viewed by authorised staff members of The Budding Chef’s Club Ltd.

We may also collect information in relation to:

  • An accident that takes place during a session

  • An incident that takes place during a session

  • An accident or incident that has taken place prior to the session beginning

  • Any safeguarding concerns that relate to a child

  • Any complaints raised about our standards

Where your information is stored

Any booking form you complete is stored on a secure server located in the European Economic Area (EEA).

Booking forms are printed, placed in a file and brought along to each session we run to ensure the details are accessible should we need to refer to them.

How long your information is stored

To comply with Ofsted Regulations, we will keep completed booking forms for a period of two years.

We must also keep any written records relating to a complaint about our service for a period of three years, including the outcome of the investigation and any action we take in response.

After these time periods have elapsed, we will shred the records and dispose of them.

How we keep your information secure

During a session, the file is kept in the kitchen where only authorised staff are permitted to be.

The file is stored in a locked filing cabinet at our Registered Office outside of session times.

During transit between our Registered Office and where the sessions are held, the file is placed in an unmarked box and placed in a locked vehicle.

Disclosing your information

We may pass your information on, but only where there is a legal obligation for us to do so. This includes, but is not limited to;

  • The purposes of ensuring children are safeguarded against harm or abuse

  • For the purposes of crime prevention

  • Following a serious accident or incident during a session, which results in an insurance claim

  • Where we are requested by Ofsted to share information relating to complaints received about our service

Your rights

You have a right to see what information we hold about you. If you write to us and request to see this information, we are legally required to provide you with a copy of this information. We must do this within 28 days of receiving your request.

There are some situations where we can legally withhold some information. For example:

  • The prevention, detection or investigation of a crime, including ensuring children are safeguarded from harm or abuse

We do not have to tell you why some information has been withheld.
